Guardian Association Management is a full service management company that can take care of all your Association needs. Below is a general list of services we offer.
Accounting
- Collect and Deposit all Association Funds
- Deposit Association funds at least weekly
- Communicate with delinquent owners
- Coordinate with outside attorneys as needed
- Record Income and Expenditures
- Reconcile all Association bank accounts monthly
- Generate, and distribute to the Board, a statement of cash receipts and disbursements
- Analyze all financials reports to inform Board of cost over runs or potential problems
- Distribute Annual Financial Statement to all members as required by Statute
- Payment of Expenses
- Receive all invoices
- Distribute payment to all venders in a timely manner
- Create a Proposed Budget
- Proposed budget to be presented to the Board for adjustments prior to distribution to the membership.
- File tax returns
- Coordinate with outside accountant
- File Uniform Business Report
Record Keeping
- Properly maintain files for owners, the corporation, operational, correspondence, financial, and any others as required.
- Maintain checking accounts, reserve accounts, and money market accounts.
General Maintenance
- Coordinate and manage all venders
- Cause the common elements to be maintained according to appropriate standards of maintenance consistent with the character of the Property and at the direction of the Board
- Control costs by obtaining three bids for all contracted services
- Inspect the common property up to 12 times per year
- Implement follow-up procedures as instructed by the Board
Covenant Non-Compliance
- Inspect homeowner properties as directed by the Board
- Notify owners, and/or designees, of Association Restrictive Covenant issues on their property
- Implement follow-up procedures as instructed by the Board
Meetings
- Provide proper notice of meetings in strict accordance with Florida Statutes
- Attend all meetings, whether Board meetings or Annual Meetings Prepare Agendas
- Act as a resource to ensure proper conduct of meetings according to Robert’s Rules of Order and Florida Statutes
- Record meeting minutes
